Customer Website Terms

These terms incorporate the General Terms and Conditions for Additional Services offered by Hillcrest Media Group and through its various web properties (“Hillcrest”).

I. Definitions

Contact Form: Is a form built into a web page that allows site visitors to send messages to the email inbox associated with that specific contact form. All contact forms also have CAPTCHAS - a built in system to require visitors to type in characters, thus preventing many spam emails to Customers.

Content Management Systems (“CMS”): Are systems built so that website owners can update and change content on their websites. Hillcrest offers two types of CMS systems.

Wordpress Powered Content Management: Provides ability to make changes to text and images without the user having an in-depth knowledge of HTML or other coding language. This system works for Customers who only plan on making basic text and image updates. Customer will not be able to change layout, design or color scheme. Also, if Customer chooses to terminate hosting, Customer shall receive an XML file with all content, copies of all images, the Word Press theme, and the CSS coding for the website, plus a Help Document for reinstalling the Wordpress Website on another Wordpress Platform. Customer shall be responsible for all install and setup relating to the website being hosted elsewhere.

Full FTP Access: Provides Customers with the access necessary to make changes to all aspects of their site. Customers are provided with a file transfer protocol (FTP) account for their website through which they can download and edit every file comprising their website. However, making changes to a site with full FTP requires some knowledge of HTML and CSS. Full FTP Access sites are only recommended for Customers having professional webmasters managing, editing, and updating the sites after they are built by Hillcrest. Upon termination of hosting or at the request of Customer, Customer shall be provided all HTML files composing the site, all images used on the site, and all CSS files.

Five Content Pages: Every website comes with, at a minimum, five (5) content pages:


Page 1: Homepage – Book synopsis/description

Page 2: About the Customer – Customer bio and/or photo

Page 3: Excerpts – Any portions of Customer’s Book specified by Customer, viewable online (excerpts made available as PDFs taken directly from Customer’s final, approved interior file)

Page 4: Contact Information – Depending on website package, there will be a contact form or for Bronze package, Customer may provide any contact information he/she wishes to make available to the public.

Page 5: Order Page / Redirect. – Customer shall have an order link redirect or an order page with links on it as set forth below.


  • Redirect Options
    • Hillcrest’s fulfillment service, (if ordered by the Customer); or
    • Customer’s Paypal page (Customer must set up his/her PayPal account); or
    • The Customer’s or


  • Order Page Options
    • Customer shall have an order page with links to one or more of the following:, Paypal, and/or


All content for the pages described in this section must be provided by Customer.


Free First Year of Hosting: All Hillcrest Customer websites get free hosting on Hillcrest’s  servers for one year, from the date the site goes live. The annual renewal fee is $120 per year paid on or before the expiration date (one year intervals after the site goes live). Customer is not required to host with Hillcrest at any time, but if Customer’s site is built in Wordpress, switching hosting providers will require Customer to reinstall their website and Wordpress within their new hosting account.  In exchange for the free year of hosting, Hillcrest may put a link in the website footer indicating that it designed the website.

Gallery: If purchased (or included in website package), Customer will submit photos to be made “web ready” by Hillcrest - this includes resizing, adjusting resolution and minimizing file size for every image file submitted.  Bronze websites do not include photo galleries.   For Silver websites, Customer shall pay $9.00 per image submitted.  For Gold websites, ten (10) images are included and the cost for additional images is $9.00 per image. If Customer wishes to have videos featured in the gallery, Customer will provide link(s) to the videos already hosted on the web. After submission and web-prep, images will be included on Customer’s gallery page designed per Hillcrest’s discretion.

Google Analytics: If purchased, Hillcrest will set up  Google analytics for the Customer website. Customer will be granted administrator access to the Analytics data if Customer provides a Google email address or an email address that the Customer has previously used for Google Accounts.

Security Package: All Hillcrest Customer websites hosted with Hillcrest will have firewall protection and daily backups.

Social Media Links: Where applicable, Hillcrest will add links to any  social media accounts of Customer and will do so in  an attractive manner consistent with the overall site design.

Storage: Storage varies by package and is a number of MegaBytes or GigaBytes provided for each website that determines the amount of storage space on our servers for your website content, including podcasts, embedded videos, streaming music, images, and PDF files.

Upload File Size: Customer is only allowed to upload or have Hillcrest upload on customer’s behalf files that do not exceed 2MB each.

Additional content pages beyond the included pages detailed above will be subject to a $90.oo per hour web design charge determined at Hillcrest’s discretion.

Customer acknowledges that the following services are not included as part of any website package:

  • Creation or addition of flash animation
  • Creation of custom graphic design elements, such as headers and backgrounds, other than those created using Customer’s existing cover image(s).
  • Purchase and use of iStock images, other than those supplied by Customer
  • Implementation of eCommerce functionality, other than Hillcrest’s Website Fulfillment service
  • Creation of online forums or areas for visitor interaction, other than blog
  • Timed overlays that display when visitors are idle on a page
  • Mailing list set-up
  • Set-up of domain-specific email addresses
  • SEO keyword research or writing

Upon request, Hillcrest may provide Customer with a custom quote for website services not included as part of any website package.

III. Website Creation Process / Timeline

The website creation process (“Process”) will begin after the Customer has approved the electronic proof of his/her print book through the Hillcrest Author Center or after Customer has received the sample chapter of their eBook if they are only ePublishing.

Customers with the Bronze package shall have three semi-customizable website design themes to choose from. Customers with the Silver or Gold package shall have six themes to choose from. 

Within 10 business days (Bronze, Silver or Gold package) of Customer’s completion of the Questionnaire steps, Hillcrest shall provide a temporary link to the website draft. 

Customers with the Bronze, Silver or Gold package will have one (1) round of minor revisions to the Website draft (e.g. correcting typos, minor reposition of buttons or links, color changes, margin realignment). 

Each round of revisions will be completed within five (5) business days from when the revision is submitted by Customer through the Hillcrest Customer Center. If Customer desires any other changes to the submitted content outside of the included revision rounds, the revisions are subject to Hillcrest’s Website Revision Fee. For additional rounds of website revisions and for any revisions after the website is live Hillcrest shall provide a time estimate and cost. Website revisions are charged at $90.00 per hour with a 1 hour minimum.

For all website packages, Customer recognizes that input from Customer is required and will ultimately determine the time frame of the website's completion.

IV. Domain Name

Customer is responsible for purchasing a domain name for his/her website. Customer acknowledges that Hillcrest cannot provide website creation services until a domain is purchased.

Customer is responsible for updating the website domain through his/her chosen domain registrar as instructed by Hillcrest, to ensure that the website is visible online. Customer will have the option of one of the following:

  • Working with his/her registrar to change the “A Record” or "name servers" or
  • Providing Hillcrest his/her registrar log in information and Hillcrest will change the “A Record” or "name servers" at no cost to the Customer.

Customer is also responsible for renewing his/her domain name in a timely manner.

Customer acknowledges that if a domain name is not renewed, Customer’s site will not be visible to the public.

V. Third-Party Services

Customer acknowledges that Hillcrest is not responsible for integration of third-party services on Customer’s website (e.g. installing a email list management tool) unless specifically set forth in these terms.

VI. Website Hosting

If Customer does not use Hillcrest’s free year of hosting, Customer is responsible for securing his/her own Website hosting and setting up the website files Hillcrest provides with the other website host.

VII. Changes to Website after Launch

Once Customer’s website is live on the internet, Customer is responsible for all updates and changes. Hillcrest is not responsible for, and will not technically support, any changes made by Customer once Website is live. Customer acknowledges that he/she owns the Website and can use anyone to make changes without ever paying additional fees to Hillcrest.

All rights, title, and interest, including any copyrights in Content and the Website, except for the generic template designs, are Customer’s.

VIII. Additional Website Features

Requests for additional features to a website not specifically set forth in these terms will be evaluated for implementation feasibility at the time of the request. If the request is deemed possible to implement into website, Hillcrest shall provide a quote to Customer for the additional work. Customer must agree in writing to additional terms and complete payment before any work on the additional feature(s) will begin.

IX. Refunds

Once Hillcrest has commenced working on a website or related service, there are no refunds as Customer acknowledges that Hillcrest has put in significant amount of work. “Commenced Working on a Website” includes but is not limited the completion of the Website Questionnaire by Customer.

While Hillcrest will attempt to create a website that fulfills the Customer's vision, the Customer acknowledges that his/her dissatisfaction with any creative element is not grounds for any refund. Hillcrest will make its best effort to complete Customer’s website within the number of days indicated for the purchased website package as outlined in Section III. Website Creation Process / Timeline above.
